GST invoice format — mandatory fields

Under Rule 46 of the CGST Rules, every tax invoice must include:

  • Supplier: name, address and GSTIN
  • Invoice number (consecutive, unique per financial year) and date
  • Buyer: name, billing address, state and GSTIN (B2B)
  • Place of supply — determines CGST+SGST vs. IGST
  • HSN/SAC code for each line item
  • Description, quantity and unit per line
  • Taxable value per line (after discount)
  • GST rate and amount: CGST+SGST (intra-state) or IGST (inter-state)
  • Total invoice value in words and figures
  • Authorised signatory

CGST/SGST vs. IGST — which applies?

  • Same state: GST splits as CGST (central) + SGST (state), each at half the slab rate.
  • Different states: full rate as IGST.

Frequently asked questions

What are the mandatory fields on a GST tax invoice?
A GST tax invoice must contain: supplier name, address and GSTIN; a consecutive invoice number and date; buyer name, address, state and GSTIN (for B2B); HSN/SAC code, description, quantity and unit; taxable value; GST rate and amounts (CGST+SGST or IGST); total invoice value; place of supply; and authorised signatory.
What is the difference between a GST tax invoice and a proforma invoice?
A GST tax invoice is the final legal document issued after the sale; it creates a GST liability and allows the buyer to claim Input Tax Credit (ITC). A proforma invoice is a pre-sale estimate — it does not create GST liability and cannot be used for ITC.
Within how many days must a GST invoice be issued?
For goods: at or before delivery. For services: within 30 days of completion (45 days for banking/financial institutions). Late invoicing attracts interest and penalties under the CGST Act.
